Standard Operating Procedure (SOP): Volunteer Management Program

Subject: Guidelines for Volunteer Engagement, Responsibilities, and Benefits
1. Purpose
The purpose of this SOP is to establish a standardized process for the recruitment, management, and recognition of volunteers to ensure a productive and mutually beneficial relationship between the individual and the organization.
2. Terms and Conditions
- Nature of Relationship: Volunteering is a voluntary contribution of time and talent. No salary or wage is provided. Participation does not guarantee future paid employment.
- Confidentiality: Volunteers must sign a Non-Disclosure Agreement (NDA). You will send email with subject ” CONFIRM”. All internal data, contact lists, and proprietary information remain the property of the organization.
- Code of Conduct: Volunteers are expected to maintain professionalism, punctuality, and respect for diversity. Harassment or unethical behavior will result in immediate termination of the volunteer agreement.
- Commitment: Volunteers are expected to fulfill the minimum hours/duration agreed upon during the onboarding process (i.e, 5 hours per week for 3 months).
- Termination: Either party may terminate the arrangement at any time with [one week’s] notice.
3. Job Descriptions and Responsibilities
Specific and general responsibilities include:
1. Admin/ VA Responsibilities:
- Assisting with sharing the information about the university/college programs and scholarships on social media
- Assist students with data entry and record updating.
- Assist students with application processing and submission.
- Assist with follow ups with students and missing information from the students applications
- Update the students on any requirements during application such as application fees, Language tests etc.
- Digital/Creative Responsibilities:
- Creating social media content of selected university/college programs and scholarships
- Assisting with posting updates or newsletter drafting.
2. Additional Responsibilities:
- Report to the assigned Supervisor.
- Submit weekly activity logs or hours worked through the email to supervisor
- Attend mandatory periodic team check-ins.
4. Training and Development
The organization is committed to the professional growth of its volunteers:
- Onboarding Training: All volunteers receive access to internal webinars, software tutorials, and sessions hosted by experts.
- Mentorship: Volunteers may be paired with a staff mentor for career guidance and technical support.
5. Incentives and Recognition
To honor the contribution of our volunteers, the following incentives are provided upon successful completion of the agreed term:
- Certificate of Completion: A formal certificate recognizing the volunteer’s service, hours contributed, and specific role.
- Letter of Recommendation: A personalized letter signed by the Department Head or Director, detailing the volunteer’s achievements and strengths, provided the volunteer has met the minimum performance benchmarks.
- Internal References: Provision of verbal or written references for future employment applications.
6. Compliance and Evaluation
- Performance Review: A brief evaluation will be conducted mid-term to ensure the volunteer feels supported and is meeting goals.
- Exit Interview: Upon completion, volunteers are encouraged to provide feedback to help improve the program for future participants.
